Privacy Policy

Effective 4 September 2026. Last updated 4 September 2026. A lawyer reviews this page before launch; until then, every sentence describes what the software actually does today.

In plain language: Keighbor collects the information needed to run your Room and answer you. We don't sell personal information or share it for targeted advertising, and no AI model reads your documents. You can download your information and delete your account yourself, subject to the signed-record retention explained below.

What we collect, why, and how long we keep it

One table, so nothing is buried. Everything in it is something you gave us or something that arrived for your sale; we buy nothing about you from anybody.

The free tools on this site (the calculator, the comparisons, the checklist, the timeline, the quizzes) run in your browser, and what you type into them is not sent to us unless you press a button that says it saves into a room. Two of them remember your work in your own browser and say so on the page.

We do not collect precise location, biometric information, health information, government identifiers, or information about children. A Social Security number, a bank account number or similar can appear inside a document you upload; we store the document, we do not extract or index those fields, and no program reads them.

Who runs the plumbing

A few companies run parts of Keighbor under our instructions and process your information only to provide the service. By category: hosting and delivery, the database and file storage, email sending and receiving, payments, electronic signatures, one research lookup, and address suggestion as you type. Each is named on the subprocessors page, with exactly what it receives and what it never gets. Today they are Supabase, Vercel, Resend, Stripe, Firma, Perplexity, Google (Places). All run in the United States. Adding one means adding it to that page in the same release.

We share information with nobody else, with three narrow exceptions: with a person you chose to share it with (an agent you invited, a buyer you sent a document to); with a professional adviser under a duty of confidence; and where the law requires it, in which case we tell you unless we are legally prevented from doing so.

Analytics, consent and Global Privacy Control

Here is exactly what runs on this site.

Vercel Web Analytics counts page views and tells us which pages get read, which site referred a visitor, their approximate location, and their browser and device type. It sets no cookies and doesn't follow people across websites.

Vercel Speed Insights measures how fast pages actually load for real visitors. It records timings, not people.

A short list of our own events. We count when a visitor starts or finishes a free tool, sets up a Room, or pays. Each event includes the tool name and a count. It doesn't include an address, price, name, email, or anything typed into a tool.

Consent. A notice at the foot of the page asks once. Analytics is on unless you switch it off, because none of it identifies you; advertising is off unless you switch it on, and there is nothing behind that switch today. Your choices are kept in your browser, and you can change them any time on your privacy choices. Switching analytics off stops the scripts loading and stops our own events being sent.

Global Privacy Control. If your browser sends the GPC signal, we treat it as an opt-out: analytics and advertising are off unless you switch them on yourself.

What none of it does. There are no advertising pixels, Google Analytics, Meta pixels, session recordings, heatmaps, cross-site tracking, or fingerprinting. We don't build an advertising profile of you or connect site analytics with the contents of your Room. If this changes, we'll update this page and the choices page. New advertising tools will be off until you turn them on.

Selling, sharing and targeted advertising

We don't sell personal information, share it for cross-context behavioral advertising, use it for targeted advertising, or profile people in a way that produces legal or similarly significant effects. We haven't done any of these in the past 12 months. These terms come from state privacy laws.

AI processing

Your documents are never sent to an AI provider. No model reads your contracts, your messages or your notes, and nothing from your room is used to train any model, ours or anybody else's. The one outside AI call in the product is the “look this up for me” research button: when you press it, we send the research provider your property's address and the question you pressed, and nothing else. The answer is offered back to you and lands in your worksheet only if you accept it. The provider is named on the subprocessors page. The full set of answers is on what does Keighbor see.

When Keighbor staff can access your data

Keighbor staff don't have a standard login to your Room. If a support request requires access to your data, we tell you what we need to review before accessing it and let you know when we're done. We don't browse Rooms to improve the product or train models. Server-side failure reports contain IDs and counts, not Room content.

What we keep after you delete, and why

You can delete your account yourself, at any time, from your account panel inside your room. It runs immediately. Deleting removes your sign-in, and your sales and everything in them: documents, photos, messages, contacts, calendar events, worksheets, and your progress. One thing survives deletion: a document that you and other people signed. Nothing else.

When a document is fully signed, we seal it and archive four things: the signed PDF, the certificate of completion, the signing audit trail (when it was opened, signed and sealed, and the network addresses involved), and the record of each signer agreeing to sign electronically. That archive stays when you delete your account.

A signed document may be relied on by several people and organizations. Keighbor keeps the sealed record and its supporting signature history after separating it from your deleted account, so the completed signature can still be verified.

If you signed something and you want that record gone too, email us. We will remove it once everyone who signed it agrees, or once it can no longer be needed as a record of the sale, whichever comes first, and we will tell you which applies and when.

Two other things have their own clocks. A record that you paid, with the plan and the date and never a card number, is kept for as long as tax and accounting law asks. And a free room nobody has opened for 12 months may be removed under our policy, after an email to you first with time to download everything or simply to open the room and keep it; nothing does this automatically today.

People sign documents on Keighbor without ever creating an account: a buyer, an agent, a title officer. If that is you, the same applies: email us from the address the document was sent to, and we will tell you exactly what exists and remove what we can.

Your rights, by state, and how to use them

Depending on where you live, state law may give you the right to know what personal information we hold about you and get a copy of it, to correct it, to delete it, to opt out of sale, sharing, targeted advertising and profiling, and not to be treated differently for using those rights. Several states have such laws now, among them California, Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah and Virginia, and more are arriving. We give everyone the same rights whichever state they are in.

Doing it yourself

Most of it needs no request. From your room you can see and correct everything we hold about your sale, download all of it, and delete your account. From your privacy choices you can switch analytics off, and there is nothing to opt out of on sale, sharing or targeted advertising because we do none of them.

Asking us

For anything else, email hello@keighbor.com with “privacy request” in the subject, from the address on your account so we know it is you; if you never had an account, from the address a document was sent to. We may ask one question to confirm it is you, and never for more than that. You can have someone act for you if they can show you asked them to. We answer within 45 days, and if a request is unusually complex we may take up to 45 more and will tell you why. Making a request costs nothing and changes nothing about how we treat you.

If we say no, and you disagree

We will say why in writing. Reply to that email with “appeal” in the subject and a different person at Keighbor looks at it again, within 45 days, and writes back with a decision and the reasons. If you still disagree, we tell you how to reach your state's Attorney General or privacy authority, who can look at it independently.

Age

Keighbor is for adults selling a home. You must be at least 18 to open a room, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, email us and we will delete it.

If something goes wrong

If we learn of a security incident that affects your information, we tell you: what happened, what of yours was involved, what we did, and what you can do, by email, as soon as we know enough to say something true, and within any period your state's law sets. To report a security problem to us, email hello@keighbor.com with “security” in the subject. A person reads it the same day. The security page says how your information is kept.

Changes to this policy

When we change this page, we update the dates at the top. If a change reduces your rights or expands what we collect, we'll notify you by email or inside your Room before it takes effect. Continuing to use Keighbor after the effective date means you accept the changes described in that notice.
